As an Assistant Clinic Director at Ellie Mental Health, you'll share our vision for improving and expanding access to quality mental health care and thrive in an environment driven by our core values of authenticity, humor, compassion, creativity, acceptance, and determination.
Position Summary
The Assistant Clinic Director is a mid-tier administrative and clinical role responsible for supporting the Clinic Director in the oversight of performance and operations of the clinic. This position supports the Clinic Director and clinic staff; assists with staffing needs; provides resource support, supervision, and operational oversight. Must be able to maintain a caseload of a minimum of (15?) client visits per week. Clinic Manager serves as an administrative task supervisor to clinicians at their designated clinic.
Essential Duties
· Maintain billable hours expectations of 18+ per week
· Participate in the Ellie clinic manager meetings which includes reviewing clinic KPIs and clinic accounts receivable (client & insurance)
· Conduct outreach and be comfortable establishing referral pathways, acting as an ambassador of the Ellie brand and on our clinic's behalf
Supervise pre-licensed clinicians in compliance with licensing requirements
Triage clinic staff’s administrative questions and concerns by connecting them to appropriate tools and resources
· Billing/verifications review
· Monitor client balances and work with staff to obtain payment
· Troubleshoot client issues within Valant, Teams, Outlook, and with billing teams as needed
· Collaborate with clinic director to support clinic in positive culture building (celebrations, anniversaries, community activities/events, team building activities, etc.)
· Monitor clinic capacity and practice patterns in support of the clinic director in hiring to meet FTE staffing requirements (office space and client waitlist)
· Partner with clinic director to monitor clinic staffing (Caseloads, hiring, office space and waitlists)
· Coordinate with clinic director to support the hiring process; this includes screening, interviewing, and onboarding processes
· Coordinate office supply orders for clinic (ordering and monitoring)
· Monitor and maintain the Lobby, Kitchen and common areas
· Co-facilitate clinic meetings and facilitate consultation groups, supervision and including documentation via Valant
· Collaborate with clinic director to maintain organizational policies and procedures
· Audit documentation for clinic in Valant to ensure compliance and compliance.
· Cross trained on intake process and client acquisition so they can supplement assistant clinic manager when additional support is needed (sick or on vacation)
· Additional duties as assigned
Qualifications
· Master’s degree or higher in a mental health discipline
· Active clinical licensed in state of Massachusetts (LICSW, LMHC, PsyD) for a minimum of 3 years.
· Strong problem-solving and leadership skill sets
· Excellent verbal and written communication skills
· Excellent interpersonal and leadership service skills
· Excellent organizational skills and attention to detail
· Excellent time management skills with a proven ability to meet deadlines
· Ability to adapt well in a high-paced and changing environment
· Proficient with Microsoft 365 applications, including Office Suite, Outlook, and Teams
