Position Summary:
We are seeking a detail-oriented and proactive Practice Associate Administrator to manage essential financial operations for our growing outpatient mental health therapy practice. The ideal candidate will be responsible for accurate and timely submission of insurance claims, diligent payment processing, effective follow-up on claim issues, and providing excellent client support regarding billing inquiries. This is a hybrid role requiring a combination of remote work and regular in-office presence for team collaboration and administrative functions.

Responsibilities:
  • Insurance Claim Submission: Prepare, review, and submit electronic and/or paper claims to various insurance payers accurately and efficiently.
  • Payment Processing: Post payments received from insurance companies and clients, ensuring accurate reconciliation with billing records.
  • Claims Follow-Up: Investigate and resolve denied, rejected, or incorrectly paid claims through effective communication with insurance companies.
  • Client Communication: Respond professionally and courteously to client inquiries regarding account balances, statements, and payment options.
  • Payment Collection Support: Assist with the collection of outstanding client balances, including generating statements and following up on overdue accounts in a respectful manner.
  • Record Keeping: Maintain organized and accurate billing records, documentation, and correspondence.
  • Compliance: Stay up-to-date on relevant billing regulations, insurance policies, and HIPAA guidelines.
  • In-Office Responsibilities:
    • Attend monthly staff meetings to stay informed about practice updates and contribute to team discussions.
    • Support training and education initiatives for clinical staff regarding billing procedures, documentation requirements, and common billing-related issues.
    • Meet regularly with the Practice Director and Owner to review key performance indicators, financial reports, and address any billing or revenue cycle challenges.
  • Other Duties: Perform other administrative and billing-related tasks as needed to support the efficient operation of the practice.
Qualifications:
  • 1-2+ years of experience in medical billing, preferably within a mental health setting
  • Strong understanding of insurance billing processes, including CPT and ICD-10 coding (familiarity with mental health specific codes is a plus).
  • Experience with electronic health records (EHR) and billing software.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent attention to detail, accuracy, and organizational skills.
  • Strong problem-solving and analytical abilities.
  • Exceptional communication and interpersonal skills, with the ability to interact professionally with insurance companies, clients, and internal staff.
  • Ability to work independently and manage time effectively in a hybrid work environment.
  • Commitment to maintaining confidentiality and adhering to HIPAA regulations.
Work Environment:

  • Hybrid role with a combination of remote work and required in-office presence for monthly staff meetings, training support, and regular meetings with the director/owner. [You may want to specify an estimated frequency for these in-office days if you have a general idea].

Compensation and Benefits:
