- Serve as the primary contact for client calls and emails
- Schedule, reschedule, and confirm appointments using our EMR system
- Guide clients through intake, services, and next steps with professionalism and empathy
- Track and follow up on inquiries to ensure a smooth path from first contact to scheduled care
- Collaborate with clinical staff on scheduling needs and updates
- Share basic information about insurance, intake forms, and billing (with training)
- Maintain accurate documentation in our systems
- Support occasional social media updates and other operational tasks
- 1+ year of experience in healthcare scheduling, front desk, or customer service
- Strong communication skills and a friendly, compassionate approach
- Ability to work independently in a remote environment
- Highly organized, detail-oriented, and reliable
- Comfortable using EMR systems, email, and phone platforms
- Understanding of confidentiality and HIPAA standards
- Experience in mental or behavioral health
- Background in insurance and/or medical billing (strongly preferred)
- Familiarity with EMR systems
